Office Assistant [Portugal]


 

Job Description:

We are now looking for an Office Assistant for the GBS in Lisbon.

Responsibilities - your mission

  • The jobholder will report and assist the Airbus GBS Management Team in all the strategic missions, and will also act for the benefit of the Airbus GBS Management

  • The jobholder will be responsible to (but not limited to):

  • Coordinate day-to-day facilities activities, maintaining good relationships with the building manager, other tenants, and office suppliers

  • monitor safety compliance throughout the office and flag issues as necessary

  • Organize events, meetings, etc

  • Managing calendar tasks and schedules

  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.);

  • Make travel arrangements;

  • Handle confidential documents ensuring they remain secure;

  • Order office supplies and monitor office inventories to ensure sufficient stock

  • Maintain electronic and paper records ensuring information is organized and easily accessible.

  • Undertake support tasks on behalf of the management team, such as encrypting documents, scanning and saving documents, photocopying and organising files

  • Meeting room management: Arranging refreshments, equipment requirements and any additional support/ resources for business meetings

Based in Airbus GBS Lisbon, the jobholder will actively contribute to the success of the new entity in order to make it a real differentiator for Airbus Group efficiency.

Requirements - our ideal candidate will have

  • Relevant Degree or Equivalent Experience

  • Proven experience as office admin or similar administrative role;

  • In depth knowledge of office management and basic accounting procedures;

  • Familiarity with basic research methods and reporting techniques

  • Fluent english (mandatory)

  • High confidentiality standards as the jobholder will be involved in strategic discussions and decisions of the company

  • Strong organisational skills

  • Working knowledge with Google Suite or comfortable with any Office suites

  • Strong ability for interpersonal relations (empathy, diplomacy)
