Operations Assistant (Reception) [Singapore]


 

The successful candidate will report directly to both their supervisor and manager. The successfull candidate will be responsible for assuming job duties from an in-service staff member before in-service staff member off from their scheduled work time.


Job Responsibilities

1. Accountable for all passes and visitor in the reception office

  • First point of contact to all visitors
  • Taking care of daily visitors' records in accordance to MOM and nursing home's procedures
  • Recording of all vehicles entering and exiting the nursing home

2. Reception duties

  • Direct all incoming calls to the respective staff/ department
  • Direct all visitors including Volunteers and Donors to the respective staff in-charge
  • Ensure the reception area is clean and tidy at all times
  • Ensure proper handing over of duties to the staff who works the upcoming shift

3. Manage Security & Safety

  • Monitor CCTV
  • Record and regulate access control
  • Response and report incident to Operations Manager
  • Operate basic security equipment (eg.using remote control ,intercom)

4. Any other operation tasks as assigned by Operations Manager from time to time


Job Requirements

  • Possess GCE ‘N’ Level or higher
  • Minimum of 1 year experience in Operations or relevant experiences in the field
  • Service-oriented with a positive work attitude
  • Ability to work effectively in both a team and independently
  • Physically capable of performing operational and reception duties with ease
  • Fluency in English is required, and proficiency in Mandarin to communicate with Mandarin-speaking visitors or next-of-kin is an advantage
  • Availability to work on public holidays, with compensation provided in the form of a day off in lieu
  • Six-day work week with rest day on every Saturday, from 1PM to 7PM daily, 36 hours per week.
