- The primary function of the role is to provide secretarial and personal assistance services to line manager.
- Extend support and assistance to the team ensuring they focus their time and effort on their key roles/objectives by relieving them from administrative and logistical organizational matters.
- To build and maintain relationship with the network of secretaries in Prudential and country businesses to facilitate communication and work flow.
- To provide support and back-up to the Executive Secretaries within the team.
- General Secretarial Duties - support the team with their travel arrangements, meeting co-ordination, event organisation, and administrative work
- Coordinator Duties - work closely with outside suppliers (e.g. travel agents, hotel representatives, etc.) and co-workers of other banks and business institutions with whom we have dealings to ensure an effective and efficient image of the team and Prudential is projected
- Networking Duties - proactively build and nurture of relationships throughout the secretarial network internally and externally to facilitate the line manager's access to other senior executives within Prudential across Asia and particularly with the key senior executives of our key business partners.
- Reporting Duties - provide regular reports on air travel budgets, office administration & maintenance, monthly expenses reports, and ad hoc investigations as requested from time to time.
- Typical education is a Secretarial or office administration course or equivalent.
- At least 8 years secretarial or administrative support experience.
- Highly proficient with use of Lotus Notes and windows applications such as MS Word, Excel, PowerPoint and can format reports of moderately complex nature using these software.
- Must be able to compose routine letters following established standards on business correspondence.
- Competent in written English and local language.
- Must have competent office administration skills.
